SmartCall ("Company," "we," "our," or "us") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, and safeguard information when you use our platform.

1. Information We Collect

  • Business & Account Information — name, email, phone number, company details, billing information.
  • Call Data — caller ID, time and duration, call recordings, transcripts, call routing details.
  • Job & Dispatch Data — job details, technician GPS location, job status, photos, notes, signatures.
  • Usage Information — interactions with our platform, feature usage, dashboard activity.
  • Technical Data — IP address, browser type, device information, and cookies.

2. How We Use Information

  • To provide and improve our Services (dispatch, GPS tracking, invoicing, call management).
  • To record and store calls and job data as requested by you.
  • To process payments and manage billing via Stripe.
  • To send automated SMS notifications via Twilio.
  • To store call recordings, photos, waivers, and documents via AWS S3.
  • To provide customer support.
  • To monitor system performance and security.

3. Call Recordings & Storage

  • All calls are recorded automatically and saved to cloud storage (AWS S3) the moment the call ends.
  • Recordings are retained for 180 days by default (configurable per business).
  • Customers may request deletion of call records, subject to legal obligations.

4. GPS & Location Data

  • Technician GPS location is collected during active jobs.
  • Location data is INSERT ONLY — never edited or deleted manually.
  • GPS history is retained for 180 days by default.
  • Customer location data is used only for job routing and ETA calculations.

5. Sharing of Information

We do not sell or rent customer data. Information may be shared only in the following cases:

  • With service providers who assist in delivering the Services (Stripe for payments, Twilio for SMS/calls, AWS S3 for storage).
  • With your consent (e.g., integrations you enable).
  • As required by law or to protect rights, property, or safety.

6. Data Security

We use industry-standard security measures including encryption, Row-Level Security (RLS) on all database tables, firewalls, and access controls. No system is 100% secure and we cannot guarantee absolute protection.

7. Your Rights

Depending on your location, you may have the right to:

  • Access, correct, or delete your information.
  • Restrict or object to certain processing.
  • Request data portability.
  • Withdraw consent where applicable.

8. Data Retention

We retain data only as long as necessary to provide the Services and meet legal obligations. When no longer required, data is securely deleted or anonymized with a full audit record.

9. Children's Privacy

Our Services are not directed to individuals under 18. We do not knowingly collect data from children.

We may update this Privacy Policy from time to time. Updates will be effective immediately upon posting.
